Moving out of state is a big step. Whether you’re leaving North Carolina for a new job, moving closer to family or just ready for a change of scenery, the mover you choose has a lot to do with how smoothly it goes. Here’s a practical guide to choosing out of state movers, what to ask, and how to plan a stress-free move from the Triangle, the Triad or the Charlotte area.

Why hire professional out of state movers?

A move across state lines is very different from a move across town. Your belongings may spend several days on the road, and the logistics involve more planning and paperwork. Professional movers bring:

  • Careful packing and loading designed for long hauls, not just a short drive
  • Furniture padding and wrapping so pieces don’t shift or scuff in transit
  • Clear scheduling for pickup and delivery
  • Storage options if your new home isn’t ready when your belongings arrive

Most importantly, you get one accountable company handling the job from start to finish.

Step 1: Check licensing for interstate moves

Any company that moves household goods across state lines must be registered with the Federal Motor Carrier Safety Administration (FMCSA) and have a USDOT number. You can look up a mover’s USDOT number on the FMCSA website before you book. For reference, Capital Moving & Storage is licensed and insured, with USDOT 3623752, Motor Carrier #01238777 and NCUC C-2952 for moves within North Carolina.

Interstate movers are also required to give you the federal booklet “Your Rights and Responsibilities When You Move.” It’s worth reading, because it explains estimates, valuation coverage and what to do if something goes wrong.

Step 2: Get a detailed, written estimate

A trustworthy estimate starts with a walkthrough of what you’re moving, either in person or over the phone or video. Be cautious of any quote that arrives without questions. A good estimate should list:

  • What’s included (packing, materials, disassembly, reassembly)
  • How the price is calculated, and what could change it
  • Pickup date and the expected delivery window
  • Valuation coverage options, and whether additional insurance is available

Ask each company to explain the type of estimate it is giving you. At Capital Moving & Storage we believe in up-front pricing and walk you through the plan before move day, so there are no surprises.

Step 3: Ask who will actually move your things

Some companies that advertise out of state moves are brokers. They sell the job and hand it to another carrier. That isn’t always a problem, but you should know who will show up and who is responsible for your belongings. Ask directly: Will your own crew and trucks handle my move?

Step 4: Plan your timeline backward from move-in day

  • 8 weeks out: get estimates and book your mover. Summer and month-end dates fill up first.
  • 6 weeks out: declutter. The fewer items you move, the easier the job.
  • 4 weeks out: start packing rarely used rooms, and schedule utilities at both homes.
  • 2 weeks out: confirm dates, parking and building rules (elevators, loading docks) at both ends.
  • Move week: pack a “first week” bag with essentials, documents and medications that travels with you.

Step 5: Make an inventory and photograph valuables

Before move day, walk through your home and photograph furniture, electronics and anything fragile or valuable. Keep jewelry, important papers, passports and irreplaceable keepsakes with you rather than on the truck. A clear inventory makes delivery day faster and gives you a record if you ever need it.

Step 6: Plan for storage if dates don’t line up

Out of state moves often come with timing gaps: a closing that slips, a lease that starts later, or temporary housing while you look for a home. Ask your mover about storage before you book. We offer short-term storage for 30, 60 or 90 days, and secure long-term storage, with delivery when you’re ready.

Step 7: Handle the North Carolina side before you leave

A few loose ends are easy to forget in the rush:

  • Forward your mail with USPS and update your address with banks, insurers and employers.
  • Request school and medical records for every family member.
  • Cancel or transfer utilities, internet and any HOA or community memberships.
  • Check your new state’s rules for transferring your driver’s license and vehicle registration.

Red flags when hiring out of state movers

  • No USDOT number, or one that doesn’t match the company name
  • A large cash deposit required up front
  • A price far below every other quote, with vague answers about what’s included
  • No physical address, or a generic phone greeting
